We collect information in the following ways.

Information you provide to us

You may provide:

• Account information, such as your name, email address, company name, role, and login information.
• Company profile information, such as trades, service area, regions, project types, team members, and bidding preferences.
• Bid and opportunity information, such as opportunities you track, solicitation details, deadlines, customer or agency names, bid values, notes, and status.
• Estimate and proposal information, such as line items, quantities, rates, markups, exclusions, assumptions, proposal text, and submitted values.
• Company Footing data, such as saved rates, past work, derived rates, supplier/subcontractor quotes, outcomes, callback reasons, and bid history.
• Uploaded files, such as solicitations, bid packages, past proposals, quotes, PDFs, Word documents, spreadsheets, images, or other documents you choose to upload.
• Support communications, feedback, survey responses, or other messages you send us.

Information from integrations you connect

If you connect third-party services, such as Gmail, BuildingConnected, ConstructConnect, or other connectors, we may access information you authorize us to access. The Gmail connection is limited to sending emails you approve, plus basic account identification — see the 'Google user data' section below for exactly what it can and cannot access.

Depending on the integration and permissions you approve, this may include:

• Opportunity, project, or bid data from connected bidding platforms.
• Document metadata and file contents needed to provide the requested feature.

We only access connected-account data to provide, maintain, secure, or improve the specific integration features you choose to use. We do not use connected-account data for advertising.

Information collected automatically

When you use Footing, we may collect:

• Log data, such as IP address, browser type, device type, operating system, pages viewed, timestamps, and referring pages.
• Usage data, such as features used, estimates generated, proposals generated, credits used, uploads, outcomes recorded, and workflow events.
• Technical data used for security, debugging, performance, fraud prevention, and product improvement.

Cookies and similar technologies

We may use cookies, local storage, pixels, and similar technologies to keep you signed in, remember preferences, understand product usage, improve performance, and protect the service. You can control cookies through your browser settings, but disabling cookies may affect how Footing works.

Payment information

If you purchase a paid plan, payment information may be processed by our payment processor. We may receive limited billing information, such as plan, subscription status, billing email, payment status, transaction history, and the last four digits of a payment card. We do not store full payment card numbers on our servers.

We use information to:

• Provide, operate, and improve Footing.
• Create estimates, proposals, bid records, pipeline views, and insights.
• Read and summarize solicitation documents, uploaded bid packages, past work, and quote files.
• Help you build and maintain Company Footing, including rates, past work, supplier costs, and outcomes.
• Track opportunities, bids, proposals, callbacks, wins, losses, and no-bid decisions.
• Generate bid intelligence, including bid health checks, source labels, pricing memory, and reports.
• Authenticate users and manage accounts.
• Provide support, onboarding, troubleshooting, and account management.
• Manage subscriptions, credits, usage limits, and billing.
• Improve product performance, reliability, safety, and security.
• Detect, prevent, and investigate abuse, fraud, unauthorized access, and security incidents.
• Comply with legal obligations.

Footing uses AI systems to help read documents, extract information, draft estimates and proposals, classify bid information, and generate structured outputs.

We may send relevant user-provided content, such as solicitation text, uploaded documents, estimate data, past work, rates, proposal details, or bid notes, to AI service providers to provide the product.

Google Workspace API user data is never part of this AI processing. Footing does not send data received through Google Workspace APIs — including anything accessed through the Gmail connection — to Anthropic, OpenAI, or any other AI or machine-learning provider, and does not use it to train, fine-tune, evaluate, or improve any AI or machine-learning model. See the 'Google user data' section for details.

We use your own data to personalize Footing for you: your bid history, rates, past work, outcomes, proposal style, and preferences make Footing smarter inside your own workspace. This tenant-specific memory stays in your account and is not shared with or used to benefit other customers.

We do not use your confidential bid documents, past work, bid history, outcomes, Company Footing memory, private company rates, supplier quotes, connected-account data, or identifiable proposals to train generalized AI models for other customers.

We may use aggregated or de-identified information to improve Footing, build product insights, and develop pricing intelligence, but only in a way that does not identify you, your company, your customers, your bids, or your raw documents.

AI outputs may be incomplete, inaccurate, or based on imperfect source documents. Footing is designed to show where estimates and recommendations come from, but you are responsible for reviewing all estimates, proposals, assumptions, quantities, pricing, exclusions, and submissions before using them.

Footing may create aggregated, anonymized, or de-identified data to understand product usage, improve performance, develop insights, and build pricing intelligence.

For example, we may analyze patterns such as bid outcomes, trade categories, region, project type, pricing ranges, response rates, or estimate accuracy across users.

We never disclose raw bid documents, private company rates, identifiable proposals, supplier quotes, customer names, company names, or company-specific bid history to other customers. We only surface cross-customer pricing or performance intelligence when it is aggregated or de-identified and there is enough underlying data that a specific company, customer, bid, supplier, or document cannot be re-identified from it. This is aggregated market intelligence, not AI model training, and tenant-specific memory is kept separate from it.

If you sign in with Google or connect a Google account, Footing accesses only the Google information you authorize, and only for the specific Google feature you use.

Footing offers two optional Google features, each described below: 'Sign in with Google' for signing in to your account, and a send-only Gmail connection for sending proposals. The Google Workspace API Limited Use commitments in this section apply to the Gmail connection.

Sign in with Google

If you choose to sign in with Google, our authentication provider (Clerk) uses your basic Google profile — such as your name and email address — to create or sign you into your Footing account. This uses Google's standard sign-in (OpenID Connect) and does not give Footing access to your Gmail, Google Drive, Google Calendar, or other Google services. You can also sign in with an email and password instead.

Gmail connector — sending proposal emails

Gmail access is optional and applies only when you choose to connect Gmail. When you connect Gmail, Footing requests permission to send email on your behalf (the Gmail 'send' scope) and to confirm your identity through Google sign-in (the standard 'openid' and 'email' scopes). Using these, Footing reads and securely stores your Google account's email address, account identifier, and whether that email address is verified, and it re-checks this identity with Google's OpenID UserInfo service before each send to make sure email is always sent from the same verified Google account you authorized. Footing uses the send permission only to send the proposal emails you approve inside Footing. When it sends one, Gmail returns a message identifier and thread identifier for that sent email, which Footing keeps as a delivery record (described under Data retention below). Footing does not read or search your Gmail inbox, does not ingest, import, or store the messages or attachments you receive, does not manage labels, and does not access Google Drive, Google Calendar, or any other Google service. Footing stores this identity information, the sent-message identifiers, and your connection tokens securely, and you can disconnect Gmail at any time.

We do not:

• Sell Google user data.
• Use Google user data for advertising.
• Transfer Google user data to data brokers or advertising platforms.
• Use Google user data to determine creditworthiness or lending eligibility.
• Send Google Workspace API user data to Anthropic, OpenAI, or any other third-party AI or machine-learning provider.
• Use Google Workspace API user data to create, train, fine-tune, evaluate, or improve any generalized or foundational AI or machine-learning model.
• Use Google Workspace API user data in cross-customer pricing intelligence, aggregated market intelligence, or any model-improvement dataset.
• Use Google-connected data for anything other than the specific user-facing Google feature you explicitly activate.
• Allow humans to read Google user data unless you give explicit permission for support, or it is necessary for security, abuse investigation, legal compliance, or similar required purposes.

To be explicit: the Google Workspace API user data Footing handles — your Google account's email address, account identifier, and verification status, and the Gmail message and thread identifiers of the proposals it sends — is used only to operate the Gmail connection you turned on: to send the proposal emails you approve, to confirm the connected account, and to record that each email was sent. It is never transferred to third-party AI or machine-learning providers, and it is never used to create, train, fine-tune, evaluate, or improve generalized or foundational AI or machine-learning models.

Footing's use and transfer of information received from Google Workspace APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

You can revoke Footing's access to your Google account at any time — by disconnecting Gmail inside Footing, or through your Google account permissions.

Footing stores your Google account's email address, account identifier, and verification status, and your connection tokens, only as needed to provide the Gmail send feature, maintain security, troubleshoot issues, or comply with legal obligations. When Footing sends a proposal on your behalf, it also keeps the Gmail message identifier and thread identifier that Gmail returns for that sent email, in your proposal's send record, as evidence that the email was sent. Footing does not import or retain the contents of your Gmail inbox. If you disconnect Gmail, Footing stops using that connection; the send records and proposals already in your own Footing workspace remain there unless deleted according to this Privacy Policy.

We may share information with:

• Service providers who help us operate Footing, such as hosting providers, database providers, authentication providers, AI providers, analytics providers, email providers, logging providers, payment processors, and customer support tools.
• Integration providers when you connect or use their services.
• Professional advisors, such as attorneys, accountants, auditors, and insurers.
• Government, legal, or regulatory authorities when required by law or to protect rights, safety, and security.
• A successor entity in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate protections.

These service providers may process information on our behalf, but they are not permitted to use it for their own independent purposes except as allowed by law or our agreements with them.

We do not sell your personal information or confidential bid data.

We keep information for as long as needed to provide Footing, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support product functionality.

You may request deletion of your account or certain workspace data. We will honor deletion requests unless retention is needed for legal, billing, security, fraud prevention, backup, dispute resolution, or audit purposes.

If you remove a bid from your active pipeline, Footing may retain the bid history and outcome data unless you choose to permanently delete it, if that option is available. This helps preserve your company's bidding memory.

We use reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure.

No system is perfectly secure. You are responsible for keeping your account credentials secure and for controlling access by your team members.

Depending on where you live, you may have rights to:

• Access personal information we hold about you.
• Correct inaccurate information.
• Delete certain information.
• Request a copy of certain information.
• Opt out of certain processing, where applicable.
• Withdraw consent for connected integrations.

We may need to verify your identity before responding.

If you use Footing as part of a company or team account, your organization may control your access to the account and may be able to view, manage, export, or delete information associated with the workspace.

Footing is intended for business users and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

Footing is operated from the United States. If you access Footing from outside the United States, your information may be processed in the United States or other locations where our service providers operate.

We may update this Privacy Policy from time to time. If we make material changes, we will provide notice by updating the date above, posting a notice in the product, or contacting you directly.
